The Iconofile tours and workshops advertised in this web site have been arranged by Iconofile, Inc., PO Box 112, Willits, California 95490 USA.
Reservations and Deposits
A non-refundable deposit of $500 per person is required within thirty days of booking to secure your reservation. The balance is due 90 days prior to departure, unless otherwise noted in a payment schedule on the Prices and Payment page of this web site or brochure. If reservations are made less than 90 days prior to departure, the total price is due at time of booking, regardless of when the reservation is made. If payment is made by check, only checks made payable in U.S. funds to Iconofile will be accepted.
Documents
Documents, if any are required, will be mailed 14 days prior to departure. Documents cannot be released until full payment has been received. These documents are sent to you no later than 14 days prior to departure. If you are departing home earlier, please notify us in order to make arrangements. There is a $50 fee for event documents processed earlier than 14 days prior to departure. Documents delayed because of late payment may require overnight shipment billed to the recipient.
Cancellations and Refunds
Once an event has been reserved the following cancellation fee will apply:
90 or more days prior to departure: $500 per person
Less than 90 days prior to departure: $500 per person plus any additional cancellation charges as decreed by the hotels, airline or ground transportation companies.
Once an event has begun there will be no refunds made for any unused or partially used tour, workshop or services, including hotel accommodations and transportation. All refunds of unused air transportation at all times, are subject to carrier(s)' tariff rules, many of which do not allow refunds. In all cases, cancellation fees will apply and are non-refundable for any reason, including illness or other emergencies. Iconofile reserves the right to cancel any Iconofile event prior to departure for any reason, including insufficient number of participants. Should this happen, refunds will be made without obligation.
Hotel Information
Hotel services and amenities are subject to change without notice and at the discretion of the hotel. Hotel photos are representative only and do not necessarily depict the actual room in which guests will be accommodated.
Prices
All prices are based upon double occupancy, unless otherwise noted, and reflect current rates in effect on the date of publishing (see below) and are subject to change without notice. In the event of an increase, an additional collection will be made to reflect the rates in effect on the date of travel, unless the booking price is guaranteed. While every effort is made to ensure the accuracy of our published prices, and when quoted by telephone, Iconofile reserves the right to make subsequent adjustments if it is discovered that a particular price was shown or quoted incorrectly.
Price Includes
Price includes all items listed in this web site under "Iconofile Includes," including charges for planning and operating the event. All prices include local taxes for hotels and meals when provided.
Prices Does Not Include
Price does not include expenses and items not mentioned in the web site or those conditions as being included in the event selected, including but not limited to air transportation from and to your home city, tips for personal services, meals (unless otherwise noted), beverages, laundry service, telephone, passport fees and visa processing fees, insurance, and guide/interpreter and bus driver gratuities. Event prices do not include airport taxes, passenger flight segment tax, and any airport passenger facility charges that may apply.
Baggage
Neither Iconofile, nor Iconofile, or any of its representative companies shall be held responsible for loss, damage or delay while baggage is in the custody of the airlines. If Iconofile, due to any cause whatsoever, is liable for loss of, or damage to your baggage, the amount of Iconofile's liability will not exceed $100.
Physical Limitations
Any physical limitation requiring special attention must be disclosed to Iconofile when reservations are requested. Passengers requiring special assistance should be accompanied by a responsible adult fully able to assist the passenger. Most of the activities on the Iconofile events require transportation by bus, van or powered water vessel that may not be equipped with facilities for accommodating physically disabled persons.
Responsibility
The Iconofile event advertised in this web site has been specifically arranged by Iconofile in behalf of Iconofile. The suppliers providing transportation and sightseeing arrangements and hotel accommodations for the event are independent contractors and are not agents or employees of Iconofile, or any of its subsidiaries or affiliates. All documentation, receipts and tickets are subject to the terms and conditions specified by the suppliers. By utilizing the services of the suppliers, you agree that neither Iconofile nor any of its subsidiaries, affiliates and Iconofile shall be liable for any accident, loss, injury or damage to you or those traveling with you in connection with any accommodations, transportation or other services or resulting directly or indirectly
from any occurrences or conditions beyond their control, including defects in vehicles, breakdown in equipment, strikes, theft, delays, cancellations or changes in itineraries or schedules, etc. Remember that all travel documents, as well as compliance with customs regulations, are your responsibility. The terms under which you agree to take an event cannot be changed or amended except in writing, signed by an authorized officer of Iconofile. Airlines concerned are not to be held responsible for any act, omission or event during the time you are not on board their aircraft. The passage contract in use by the airline, when issued, constitutes the sole agreement between you and the airline. The right is reserved to decline, accept or retain any person as a member of an Iconofile event at
any time prior to departure or during the course of the event. In the unlikely event that the services or accommodations are not available as stated, due to reasons beyond the control of either Iconofile or Iconofile, every effort will be made to provide services or accommodations of equal standard and quality, for your safety, convenience and enjoyment.
Limitation of Liability
By booking an Iconofile event you acknowledge that in all events Iconofile or Iconofile shall not be liable for any consequential damages and that the sole extent of liability shall never exceed the amount actually paid by you to Iconofile.
Arbitration
Any controversy or claim arising out of, or relating to, any event advertised in this brochure shall be submitted to binding arbitration in accordance with the Commercial Arbitration Rules of the American Arbitration Association. The arbitration shall be conducted at an American Arbitration Association office located in San Francisco, California. Judgment upon award rendered by the arbitrator(s) may be entered in any court having jurisdiction thereof. Iconofile and you understand and agree that, by agreeing to binding arbitration, we give up the right to trial on the merits, by either judge or jury, or trial de novo and the right to appeal.
